Music planning: Must-play list, do-not-play list, formalities (first dance song, parent dances, cake cutting, open dancing), special announcements. This information needs to travel with the event record, not sit in a separate music planning app or email thread.
Run of show / event timeline: The schedule of the event from load-in to load-out: venue arrival time, setup duration, ceremony time, cocktail hour, dinner, formalities, open dancing, end time. Tasks and checklist: The pre-event to-do list specific to this gig: send music questionnaire (due 8 weeks out), collect final must-play list (due 2 weeks out), confirm venue load-in access, confirm final balance received, prep gear list.
